Tasks is a Premium feature that allows you to:
Standardise your team’s workflow
Track tasks across all your shipments
Quickly add, edit, and complete your to-dos
Stay ahead of deadlines with visual cues for what’s overdue
Whether you're managing one shipment or many, this setup keeps your process clear, efficient, and consistent.
Introduction
A Tasklist is a predefined set of tasks your company can apply to every new shipment. It reflects your internal workflow and ensures consistency across the board.
A default task template can be set up specifically for your company.
Once configured, the template will automatically apply to each newly created CargoSync shipment.
Tasks will be visible both within each individual shipment and across all shipments in a central Task Dashboard.
🛠 Only users with the Manager role can see and interact with tasks in this way.

Getting Started
Step 1: Set up a Task Template
Setting up a task template is simple and quick.
First, head to the Task Templates tab under your company settings, then click New Template to get started. This will open the template builder.

Each task includes:
A Task name
A Relative due date, based on shipment milestones
An option to count days as business days only
When you’re happy with your new tasks and the overall template, apply the new tasks changes and save the template.
Edit Template
Once you've set up a task template, it'll look something like this. You can come back to it anytime and make changes - update, tweak, or completely redo it if you want.
If the template hasn’t been applied to any active shipments yet, your changes will be saved straight away. If it has been applied to active shipments, then, you’ll see a modal like this.
From here, you can choose what happens next:
Apply updates to new shipments only: Your changes will be saved, but only affect shipments moving forward. Nothing changes for the ones already using the template.
Apply updates to existing shipments too: Go for this if you want to bring existing shipments in line with your new template. Don’t worry - any tasks that have already been completed will stay as they are. The updated tasks will simply be added in.
Nice and easy. Templates stay flexible, and your work stays safe.
Step 2: Start Managing Tasks
There are two main ways to work with tasks:
1. Within a CargoSync Shipment
Go into the shipment and navigate to the Tasks section.
Tasks specific to that shipment will appear based on your default template.
You can also add one-off tasks.
2. Via the Task Dashboard
This is a centralised view of all tasks across all active shipments.
It displays tasks in a table format so you can track and action them easily, without jumping into each shipment.

The Task Dashboard is a flexible, interactive table designed to give you full control and visibility.

Quick access to a clickable shipment link in each row. Use it to quickly jump from the dashboard into a specific CargoSync shipment to manage your tasks from the shipment level.
Toggle, sort, and reorder columns to suit your preference
Adjust column width, and it stays just how you set it
See containers linked to each shipment
Group by vessel name for better visibility
The column state is saved, even if you leave the page or refresh, you wouldn't lose your toggle and column ordering preferences
Inline Task Notes
Add notes directly in the table
A sticky column on the right shows a note icon
Grey icon = no notes yet
Purple icon = notes already added
Click the icon to open a pop-up to view or edit your notes
One-off Tasks
Need to track something specific that’s not part of your default template?
Go to the Tasks section in a CargoSync shipment
Click the + icon to add a one-off task
Fill in the task name and any notes along with the due date for the task
Click Update to save - it’ll appear right away in the shipment’s task list
Due Dates & Overdue Tasks
Tasks are colour-coded according to the due dates, in red, yellow and green.
You can mark tasks as Completed from either the shipment view or the task dashboard. Completed tasks will appear with strikethrough text, so they’re easy to identify.
